This Refund & Cancellation Policy explains the circumstances under which Udayan Secondary School Alumni Association (“USSAA,” “Association,” “we,” “our,” or “us”) may issue refunds for membership fees, event registrations, program fees, donations, sponsorships, and other payments made through the Association.
This policy should be read together with the Udayan Secondary School Alumni Association Privacy Policy and Terms & Conditions.
USSAA will consider refund requests fairly and in accordance with:
The purpose of the payment;
The applicable terms communicated at the time of payment;
The cancellation date;
Whether the relevant event or service has already been provided;
Applicable payment-provider rules; and
Applicable laws and regulations of Bangladesh.
A payment is not automatically refundable merely because a member changes their mind after completing a transaction.
Membership fees are generally non-refundable after membership approval or activation, except where:
USSAA charged an incorrect amount;
The same membership fee was paid more than once;
USSAA is unable to provide the membership for which the payment was made; or
A refund is otherwise required under applicable law.
If a membership application is rejected before activation, USSAA may refund the applicable membership fee, subject to any clearly disclosed administrative charges.
Refund eligibility for alumni events, reunions, dinners, seminars, conferences, and other programs will normally depend on the cancellation deadline stated for the specific event.
Unless a different event-specific policy is published:
A participant may be eligible for a full or substantial refund, subject to applicable payment-processing charges.
A partial refund may be provided depending on costs already committed by USSAA.
The payment may be non-refundable because venue, catering, transportation, or other costs may already have been committed.
If a registered participant does not attend an event without cancelling within the applicable cancellation period, the registration fee will generally not be refundable.
If USSAA cancels an event, participants may be offered:
A full refund;
Transfer of registration to a rescheduled event; or
Another reasonable option communicated by USSAA.
If an event is postponed, USSAA may allow registered participants to transfer their registration to the new date.
The applicable option will be communicated to participants as soon as reasonably possible.
Donations made to USSAA are generally treated as voluntary contributions and are not refundable once successfully processed.
However, USSAA may consider a refund where:
The donor made a duplicate payment;
The amount was charged incorrectly;
The payment was made due to a technical error;
The payment was not authorized by the donor; or
A refund is required by applicable law.
USSAA may request reasonable information to verify a refund request.
Where a donation has already been transferred or committed to a specific charitable or Association program, refund options may be limited.
Sponsorship payments may be subject to separate written agreements.
Where a sponsorship agreement contains specific cancellation or refund provisions, those provisions will apply.
If no separate agreement exists, USSAA will assess refund requests based on:
The sponsorship arrangement;
Benefits already provided;
Costs already incurred;
Cancellation timing; and
Applicable law.
If a member or participant accidentally makes the same payment more than once, USSAA may refund the duplicate amount after verifying the transaction.
The refund may be returned using the original payment method where technically and legally possible.
If a member is charged more than the amount displayed or authorized, USSAA will investigate the transaction.
Where an overcharge is confirmed, the excess amount may be refunded.
If you believe a payment was made without your authorization, please contact USSAA as soon as possible.
USSAA may request transaction information necessary to investigate the matter.
Where the payment was processed through a third-party payment provider, the provider's dispute and chargeback procedures may also apply.
Where permitted by applicable law and disclosed before payment, certain third-party payment-processing charges may not be refundable.
If USSAA itself is responsible for an incorrect charge or transaction error, USSAA will assess the matter accordingly.

Please include:
Full name;
Membership ID, if applicable;
Transaction/reference number;
Date of payment;
Amount paid;
Reason for the refund request; and
Relevant event or program name, if applicable.
Do not send passwords, PINs, full payment-card numbers, or other unnecessary sensitive information by email.
Unless an event-specific policy states otherwise, refund requests should be submitted within 14 days of the relevant transaction or, for event registrations, within the cancellation period specified for that event.
Requests submitted after the applicable deadline may still be considered in exceptional circumstances.
USSAA will review refund requests on a case-by-case basis where discretion is permitted.
The Association may request additional information reasonably necessary to verify:
The payment;
The identity of the payer;
The reason for the request; or
The applicable refund circumstances.
USSAA will communicate the outcome of a refund request within a reasonable period.
Once a refund is approved, USSAA will normally initiate the refund within 7–14 business days, subject to the processing time of the relevant bank, mobile financial service, card network, or payment provider.
The actual time required for funds to appear in the payer's account may vary.
Where possible, refunds will be made using the same payment method used for the original transaction.
For example:
Card payment → original card;
Mobile financial service → original account where supported;
Bank transfer → relevant bank account where appropriate.
USSAA may request additional verification before processing a refund.
Certain payments may be identified as non-refundable before payment, including costs that USSAA has already incurred or committed on behalf of participants.
Examples may include:
Customized event materials;
Tickets purchased from third parties;
Accommodation booked specifically for a participant;
Catering costs already committed;
Special merchandise;
Certain administrative services; and
Other expenses expressly identified as non-refundable.
Any such restriction should be communicated clearly before payment whenever reasonably possible.
USSAA may consider exceptions in circumstances such as:
Serious unforeseen circumstances;
Event cancellation;
Significant administrative error;
Duplicate payment;
Unauthorized transaction; or
Other circumstances that reasonably justify an exception.
Approval of an exceptional refund does not establish an obligation to provide the same exception in every future case.
USSAA may amend this Refund & Cancellation Policy from time to time.
The updated policy will be published on the official USSAA website with a revised “Last Updated” date.
The refund terms applicable to a particular transaction will generally be determined by the policy and event/payment terms applicable at the time the transaction was made, subject to applicable law.
This Refund & Cancellation Policy shall be interpreted in accordance with the applicable laws of the People's Republic of Bangladesh.
Nothing in this policy is intended to exclude or restrict any mandatory rights or protections available under applicable law.
