UDAYAN SECONDARY SCHOOL ALUMNI ASSOCIATION

ALUMNI DIRECTORY POLICY

1. Purpose

The Udayan Secondary School Alumni Association Alumni Directory is intended to help verified alumni reconnect, communicate, network, and participate in Association activities.

The directory is a service of USSAA and is not intended to function as a general public database of alumni.

2. Eligibility

Access to the members-only directory may be restricted to verified Udayan Secondary School alumni and authorized Association personnel.

USSAA may verify membership before providing access.

3. Information Displayed

Depending on each member's privacy settings, the directory may display:

  • Name;

  • Photograph;

  • Batch;

  • Profession;

  • Organization;

  • Designation;

  • City/country;

  • Professional information;

  • Approved social/professional profile.

4. Sensitive Information

The directory should not display unnecessary sensitive or highly private information.

Examples include:

  • National ID numbers;

  • Passport numbers;

  • Bank account information;

  • Payment-card information;

  • Passwords;

  • Security credentials;

  • Medical information; and

  • Other sensitive information not necessary for alumni networking.

5. Contact Information

Members may choose whether their:

  • Email address;

  • Mobile number; or

  • Other contact information

is visible.

USSAA should provide privacy options allowing members to communicate through the platform without unnecessarily exposing private contact details.

6. Privacy Levels

USSAA may provide three directory visibility levels:

Level 1 — Private

Only authorized USSAA administrators may access the member's full information.

Level 2 — Members Only

Selected information is visible to verified USSAA members.

Level 3 — Public

Selected information may be displayed on the public USSAA website.

Members may change their privacy preference by contacting USSAA or through available account settings.

7. Prohibited Use

Directory information must not be used to:

  • Sell or distribute databases;

  • Conduct unauthorized marketing;

  • Send spam;

  • Harass members;

  • Conduct scams or fraud;

  • Collect information for unauthorized purposes;

  • Scrape or automatically copy the directory;

  • Create external databases; or

  • Engage in unlawful activity.

8. Commercial Use

The directory must not be used for commercial solicitation without prior written authorization from USSAA.

A member may not use the directory to promote a business, product, service, investment, employment opportunity, or commercial campaign unless expressly permitted by USSAA.

9. Respect for Privacy

Members must respect the privacy choices of other alumni.

Information visible through the directory should not be copied, forwarded, published, or shared outside the intended Association environment without appropriate permission.

10. Accuracy

Members are encouraged to keep their information accurate.

Members may request correction of incorrect information.

USSAA may periodically request information verification.

11. Removal Requests

A member may request removal or restriction of eligible directory information.

USSAA may retain certain information where required for legitimate Association administration, historical records, accounting, legal obligations, or security.

12. Administrator Access

Only authorized USSAA administrators should have access to administrative directory functions.

Administrator access should be limited according to organizational responsibilities.

Administrative credentials must not be shared.

13. Security

USSAA will take reasonable steps to protect the directory from unauthorized access, alteration, disclosure, or misuse.

Members are responsible for protecting their own login credentials.

14. Directory Content

USSAA may remove information that:

  • Violates Association rules;

  • Is misleading or fraudulent;

  • Is offensive or abusive;

  • Creates a security risk;

  • Violates another person's privacy; or

  • Is otherwise inappropriate for the directory.

15. Changes to Directory Policy

USSAA may modify this policy when necessary because of changes in technology, Association requirements, member expectations, or applicable law.

16. Acceptance

By choosing to participate in the Alumni Directory, a member acknowledges that they have read and understood this policy and agree to comply with its requirements.
